DEPARTMENT/PROGRAM DESCRIPTION
MAAC Community Charter School (MCCS) is a high school of choice and opportunity that is sponsored by the MAAC non-profit agency and is authorized by the Sweetwater Union High School District. MCCS is in Chula Vista, California and is the only charter high school in the area that targets at-risk students between the ages of 14-20 who have struggled to succeed in large, traditional public schools for a variety of reasons. Those reasons include loss of interest, deficit of academic credits, limited English proficiency, failure to pass the CAHSEE, lack of transportation or childcare, family problems, transiency, financial need, homelessness, substance abuse, truancy, behavioral issues, and incarceration.
DEFINITION
Under supervision, the Attendance and Assessment Technician is responsible for performing clerical duties related to student attendance accounting and record-keeping to assure accurate Average Daily Attendance (ADA) reporting for the regular and independent studies program; verify excused and unexcused absences; work with attendance action group to improve and motivate students attendance; organize and support assessment of student learning for incoming and Independent Studies students; serve as a liaison and technical resource regarding student attendance, discipline and related issues, policies, procedures, rules and regulations.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform clerical duties related to student attendance accounting and record-keeping to assure accurate ADA reporting for regular and Independent Studies program; compile information and prepare and maintain various attendance records and reports; review attendance data, records and reports for completeness, accuracy, and compliance with established guidelines.
  • Process and verify student absence information from parents, teachers, and others; operate and maintain the automated attendance calling system daily to assure parents are informed of student absences; post student absences to calling system.
  • Serve as a liaison between students, parents, staff and outside agencies regarding student attendance and discipline; initiate and receive phone calls; resolve attendance issues and conflicts in a proper and timely manner; refer student attendance problems to counselor or administrators as appropriate.
  • Provide technical assistance to students, parents, staff, and outside agencies concerning student attendance matters; respond to inquiries and provide technical information concerning student absences, tardiness, discipline, progress and related laws, rules, regulations, policies, and procedures.
  • Input, update and scan student attendance, discipline, and other data in an assigned computer system; establish and maintain automated records and files; initiate queries, manipulate data and generate a variety of computerized attendance lists and reports.
  • Prepare, process, and distribute Saturday School, suspension and other disciplinary forms and documents for student tardiness and truancy as directed.
  • Collaborate with attendance action group to improve and motivate student attendance.
  • Organize and support assessment of student learning for incoming and Independent Studies students
  • Compile and duplicate attendance materials and information; prepare, distribute, collect, and process forms, applications, notices, and other documents required for attendance accounting and record- keeping; collect signatures as needed; duplicate and distribute materials as requested.
  • Compose and mail letters and other correspondence concerning student attendance, tardiness, and other issues independently or from oral instructions as appropriate.
  • Operate a variety of office equipment including a calculator, fax machine, copier, computer, scanner and assigned software; perform minor maintenance and repairs on equipment as needed.
  • Process and clear absences in response to field trips, sports events and corrections as needed.
  • Provide information or arrange for student meetings in response to requests from law enforcement, social service, and other governmental agencies as appropriate.
  • Monitor inventory levels of forms and other attendance materials; order, receive and maintain adequate inventory levels of materials.
  • Performs other related duties as assigned.
QUALIFICATIONS AND SKILLS
Knowledge of:

  • Ability to apply agency and school district methods, procedures, policies, and terminology used in student attendance processing, accounting, and related disciplinary functions.
  • Interpret, apply, and explain rules, regulations, policies, and procedures.
  • Type or input data at 45 words per minute from clear copy
  • Meet schedules and timelines.

EDUCATION/EXPERIENCE/CERTIFICATION
  • A typical way of obtaining the knowledge, skills, and abilities outlined above is graduation from high school or a GED AND two (2) years education and/or experience in a clerical/office environment which includes operational skills listed above and/or six (6) months hands-on work experience tracking and monitoring attendance using Student Information System – Chancery or a similar system.

HEALTH STATUS

Must have a physical examination, TB clearance and a drug screen by a doctor/clinic designated by MAAC as well as immunization records for influenza*, pertussis and measles as required by state and federal regulations prior to the first day of employment.

Physical Demands

While performing the duties of this class, an employee is regularly required to stand, walk and sit, talk or hear both in person and by telephone, uses hands to finger, handle or feel objects or controls, reach with hands and arms. An employee also is regularly required to stoop, kneel, bend, crouch or crawl, climb or balance and lift up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.

Mental Demands

BACKGROUND CLEARANCE

All positions are subject to a background/education check, DMV check, NSOR, exclusion and debarment checks prior to hire and periodically throughout employment as required by various funding sources.

Note: California Start law requires background criminal checks on anyone who works in a licensed childcare facility who is not a client. Must have or obtain a current criminal background check clearance, signed criminal record statement, and signed Acknowledgement to Report Child Abuse form prior to the first day of employment.

TRANSPORTATION

Must have and maintain a valid California Driver’s License, daily use of a personal, insured vehicle, and have and maintain a motor vehicle driving record acceptable to MAAC’s insurance carrier. Incumbents will be enrolled in the California DMV Pull Program.
